Mastering Apprentice Wage and Tax Compliance

20 August 2026 · 5 min read · By Heaney Accounting

Setting Up Apprentice Pay Cycles

Taking on an apprentice is a major milestone for your business, but it comes with strict payroll rules. Unlike standard employees, apprentice pay rates change based on their progression through their training and their age. Always double-check the Modern Award relevant to your specific trade to ensure you are paying the correct base rate from day one.

Compliance Tip: Underpaying an apprentice is a common compliance pitfall. Always update your payroll software every time they hit a new competency milestone or age threshold.

Essential Payroll Tasks

  1. Classify the apprentice correctly under the relevant Trade Award.
  2. Set up Single Touch Payroll (STP) to report their wages to the ATO every time you pay them.
  3. Calculate superannuation contributions based on their gross earnings, ensuring payments are made on time.
  4. Keep detailed records of training hours versus work hours for payroll accuracy.

Remember that apprentices are entitled to specific training allowances and leave provisions. Failing to account for these can lead to costly back-pay issues if you are audited by the Fair Work Ombudsman or the ATO.
