Mastering Apprentice Payroll and Super Compliance
10 August 2026 · 6 min read · By Heaney Accounting
Taking on an apprentice is a great way to grow your trade business, but it comes with specific payroll and superannuation obligations. Getting this wrong can lead to costly back-payments and ATO penalties.
Setting Up Your Apprentice in Payroll
Before your apprentice starts, ensure you have their Tax File Number declaration and super choice form ready. You must set them up in your accounting software using the correct industry award rate.
- Verify their apprenticeship agreement and training contract.
- Identify the correct modern award for their specific trade.
- Confirm their pay rate, including any applicable allowances.
- Set up automated superannuation contributions.
Superannuation Obligations
Superannuation must be paid at least quarterly for all eligible employees, including apprentices. Even if they are still completing their trade school hours, they are entitled to the current super guarantee percentage on their ordinary time earnings.
- Calculate the super amount based on their ordinary hours worked.
- Submit contributions through your clearing house by the 28th of the month following the quarter.
- Keep records of all payments to ensure your end-of-year reporting is accurate.
Pro Tip: Remember to review your apprentice's pay rate as they progress through their training stages or complete school blocks, as their legal entitlements will change based on their progression.
