A Tradie's Guide to Organising Your Business Expenses for Tax Time

21 September 2026 · 6 min read · By Heaney Accounting

Why Getting Your Expenses Right Matters for Tradies

As a tradie, your business expenses are crucial for reducing your taxable income. Every dollar you can legitimately claim means less tax to pay. But keeping track of everything, from fuel and tools to those little incidentals, can be a headache. This guide will show you how to get organised so you don't miss out on valuable deductions.

Categorising Your Business Expenses

  • **Tools and Equipment:** Handheld tools, power tools, safety gear.
  • **Vehicle Expenses:** Fuel, registration, insurance, repairs, loan interest (if used for business).
  • **Materials:** The actual parts and materials you use on jobs.
  • **Subcontractors:** Payments to other tradespeople you hire to help.
  • **Running Costs:** Phone, internet, software, bank fees, insurance.
  • **Wages and Superannuation:** For any employees you have.
  • **Training and Memberships:** Industry courses, professional body fees.
  • **Office Expenses:** If you have a home office or dedicated office space.

Keep Records for Everything

The ATO requires you to keep records that prove your claims. This means having receipts, invoices, and bank statements. Don't just rely on your memory or a pile of crumpled paper. Set up a system, whether it's digital or physical, that works for you.

ATO Rule: The ATO generally requires you to keep business records for five years.

Tips for Organising Your Records

  1. **Use a Spreadsheet or Accounting Software:** Track income and expenses in one place. This makes it easy to see where your money is going.
  2. **Scan or Photograph Receipts:** Use your phone to take clear photos or scan receipts as soon as you get them. Store them digitally in folders named by month or expense type.
  3. **Create a Dedicated Business Bank Account:** Keep business and personal finances separate. This makes reconciliation much simpler.
  4. **Maintain a Logbook for Your Vehicle:** If you use your vehicle for business, a logbook is essential to claim mileage and running costs accurately. (See our guide on vehicle logbooks!)
  5. **Regularly Review Your Records:** Don't wait until June 30. Review your expenses monthly or quarterly to catch any errors or missing information.

When in Doubt, Ask Your Accountant

Tax laws can be complex, and what you can and can't claim can change. If you're unsure about a specific expense, or if your record-keeping system is feeling overwhelming, talk to your accountant. We can help ensure you're claiming everything you're entitled to and are compliant with ATO rules.
