Why You Should Review Your Debt Recovery Process

24 October 2026 · By Heaney Accounting

Many trades businesses fall into the trap of sending an invoice and forgetting about it until the due date passes. This passive approach often leaves you holding the bag while your own bills pile up. By moving to a proactive invoicing system, you can reduce the time it takes for clients to settle their accounts significantly.

Consider implementing a standardized follow-up schedule that triggers an automated reminder three days before an invoice is due. A simple, polite email can often prompt a busy customer to prioritize your payment. If the due date passes, having a clear policy on phone calls versus emails ensures that you maintain a consistent professional presence.

Another major issue is unclear payment terms on your quotes. If you do not explicitly state that invoices are due on receipt or within seven days, clients will naturally default to their own preferred timelines. Ensure every job quote and final invoice clearly outlines when payment is expected to avoid any ambiguity.

Finally, do not be afraid to offer multiple payment methods to lower the barrier for your clients. While credit card fees can be an annoyance, the cost of waiting an extra month for a bank transfer often outweighs the small percentage lost in processing fees. Making it easier for customers to pay you is one of the fastest ways to improve your business cash flow.
