Scaling Your Trade Team: The Profitability Trap
29 September 2026 · By Heaney Accounting
Many trades businesses fall into the trap of hiring more hands the moment their order book starts to look full. While this solves your immediate labour shortage, it often adds significant administrative burden and payroll complexity that eats into your bottom line. Before you add another person to the roster, make sure your current team is operating at peak efficiency.
Consider whether your current project management processes can handle an extra crew member. If you are still managing your jobs through paper notes and text messages, adding more staff will likely lead to miscommunication and costly rework. Investing in a digital system to track tasks and labour hours is often a more profitable first step than hiring another employee.
It is also vital to calculate the true cost of an employee beyond their hourly wage. When you factor in superannuation, insurance, leave entitlements, and the cost of training, that new recruit costs significantly more than their base pay rate. Ensure your current job quotes are high enough to support these overheads, otherwise, you are essentially paying for the privilege of being busier.
If you do decide to grow, start by clearly defining the roles and responsibilities of the new hire to ensure they hit the ground running. Track their individual productivity for the first month to ensure they are contributing to the business's profit rather than just adding to the workload. Growth should always be measured by profit margins, not just total revenue.
