Are You Tracking Your Business Expenses Like a Tradie Should?

22 July 2026 · By Heaney Accounting

As a tradie, your tools, vehicle, materials, and site visits all add up. But are you really keeping a close eye on where your money is going? Many tradies focus heavily on getting jobs done and getting paid, but often overlook the importance of tracking every single expense. This oversight can seriously impact your profitability, making it hard to know if you’re truly making a profit or just trading time for money.

Start by getting organised with your receipts. A shoebox full of crumpled paper won't cut it anymore! Use a simple system that works for you. This could be a dedicated folder for receipts, a mobile app that lets you snap photos and categorise them, or even a simple spreadsheet. The key is to record expenses as they happen or at least on a daily basis, rather than trying to sort through a mountain of receipts at the end of the month.

Beyond just receipts, think about categorising your expenses. Are you spending a lot on fuel, vehicle maintenance, specific materials, or tool replacements? Understanding these categories helps you see where your biggest costs lie. For example, if your vehicle maintenance costs are soaring, it might be time to look at getting your vehicle serviced more regularly or even considering a more reliable model. This level of detail helps you make informed decisions about your business spending.

Don't forget about the small stuff, especially for tax time. Little things like the cost of coffee on a long day trip to a job, or the expense of specific safety gear, can add up. Make sure you're aware of what the ATO considers a legitimate business expense. Keeping a logbook for your vehicle is also essential for claiming mileage and associated costs. The more accurately you track, the more deductions you can potentially claim, putting more money back into your business.

Finally, regularly review your tracked expenses against your income. Use this information to adjust your pricing, identify areas where you can cut costs without compromising quality, and forecast future spending. Knowing your numbers inside out is what separates a struggling business from a thriving one. Treat expense tracking not as a chore, but as a vital tool for building a more profitable and sustainable trade business.
